Intake Support Administrator

Location: 11738 Kingsway Avenue NW, Edmonton, AB Closing Date: August 4, 2026 Position Status: Full-time (40 hours/work), Permanent

Reporting to Registry Intake Supervisor, the Intake Support Administrator will be responsible for data entry and maintenance of citizenship application files, as well as providing support for the application process on an as needed basis. In this role, the incumbent will enter applicant information into the database, ensure files are complete, and provide information in response to general inquiries. The ideal candidate will have customer service, administrative, and data entry experience as well as have a friendly, courteous demeanor.

Key Responsibilities Data capture applicant information into the citizenship database. Enter all telephone inquiries into the database using the appropriate data entry screens for tracking purposes and client maintenance information. Review data for any deficiencies or errors. Organize, maintain, and create file folders for all citizenship applications. Ensure all files are complete. Follow-up with applicants and request supporting documents as needed. Retrieve data from the database or electronic files as requested. Respond to general inquiries received to the citzenship@metis.org Refer and/or direct calls and emails as required. Scan, sort, and distribute mail for the Registry department and maintain the mail log. Participate in staff meetings and special projects within the department. Assist with coverage for Intake Officer role as needed, including: Conduct an initial assessment to ensure that the applicant has all mandatory documents prior to commencing with the membership intake process. Validate application requirements. Receive and scan all documentation that is dropped off. Attend Registry sessions throughout Alberta to assist citizens with the application process. Other duties as required or assigned.

Skills and Competencies Experience in working with the public. Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint), database applications, and administration systems. Meticulous records maintenance skills and excellent attention to detail. Strong sense of initiative. Strong sense of ethics, with the ability to maintain a high level of confidentiality in all interactions. Ability to remain organized, multi-task and time manage. Strong conflict resolution skills. Excellent interpersonal skills with the ability to build strong relationships. Ability to work independently as well as part of a team. Excellent communication skills with the ability to listen, interpret, and convey information and opinions to appropriate staff. Clear understanding of the Otipemisiwak Métis Government and knowledge of Métis history, culture, and people. Other Requirements Position will be based in Edmonton; in-office presence will be required. Ability to work office hours of Monday – Friday, 8:30 am – 4:30 pm. Able to travel throughout Alberta (required) for events and to facilitate Registry sessions. Travel will be up to 25%. Must hold a Valid Class 5 Driver’s License and have reliable transportation.
